A blueprint scenario — the shape of a typical build, with the modules, timeline and pricing we’d actually quote.
The business
A corporate office across three floors of a business park: ~250 employees, a steady stream of client visitors, interview candidates and couriers, a dozen meeting rooms, and a facility team of six managing everything from ACs to access cards. Front desk runs on a paper register and phone calls; facility complaints run on a WhatsApp group with 180 unread messages.
The problem
Clients wait at reception while the guard phones a host who’s in a meeting. Two teams routinely claim the same boardroom. The facility WhatsApp group swallows complaints — no owner, no status, no history. Access cards for leavers get deactivated days late, which the last audit flagged.
The suite
- Visitor Management — pre-registration by hosts, QR check-in in seconds, instant host notification with approve/reject, photo capture, live in-building list for emergencies.
- Access Control integration — card/biometric access synced with employee status, so joiners get access on day one and leavers lose it the same hour HR marks exit.
- Facility + Helpdesk — complaints raised from any phone with photo and location, auto-routed by category, visible status, escalation when SLAs slip.
- Workplace Management — meeting-room booking with no-show auto-release, and desk allocation for the hybrid teams.
Integrations
Existing access-control hardware and turnstiles (documented, credentialed — free). Email/calendar for room bookings (free). The building’s BMS panel would be assessed against the documentation rule and scoped transparently if legacy.
Timeline and cost
Built in 8 days, live in ~4 weeks — pilot at one floor’s reception and one facility category, then full cutover with the paper register physically retired. ≈ ₹80,000 one-time on managed cloud, then per-active-user licensing: reception, security, facility team, and employees as self-service users at the appropriate tier. Visitors are never billed users.
What changes
Reception stops being a bottleneck and starts being a first impression. Every complaint has an owner and a clock. Access rights track HR reality automatically. And the facility head finally gets the report that ends budget arguments: which floor, which asset, which vendor actually costs the money.
