Warehouse & Logistics: Stock You Can Trust, Gates That Keep Records

A blueprint scenario — the shape of a typical build, with the modules, timeline and pricing we’d actually quote.

The business

A third-party warehousing operator: 60,000 sq ft across two godowns, a dozen client companies’ stock under one roof, 70 staff including shift-based loaders and a security team, and a gate that sees forty trucks a day. Stock is tracked per-client in Excel; the gate runs on triplicate slips; attendance for shift labour is a supervisor’s notebook.

The problem

Client stock audits take two days of counting and still end in disputes, because the sheet and the racks disagree. Truck turnaround time — the metric clients actually buy — is unmeasured because gate-in and gate-out live on paper slips. Shift-labour attendance disputes eat every month-end. And when a client asks “where is my consignment right now?”, the honest answer involves three phone calls.

The suite

  • Inventory, multi-client — stock segregated per client with locations down to rack level; inward against client advice notes, outward against dispatch orders; cycle counts per client; a client-facing stock report that ends audit arguments.
  • Visitor & Gate Management, logistics-tuned — truck and driver check-in with vehicle number and purpose, gate-in/gate-out timestamps (turnaround time measured automatically), material gate passes linked to dispatch orders, visitor handling for client representatives.
  • HRMS — shift rosters for loaders and security, biometric attendance, contract-labour handling, clean payroll inputs.
  • Helpdesk — internal issues (racking damage, equipment, building) plus client-raised queries, tracked to closure.
  • Reports & Analytics — per-client stock position, truck turnaround trends, labour attendance — the numbers that win contract renewals.

Integrations

Biometric devices at both godowns (free). Tally sync for billing inputs (free). Clients’ ERP feeds (advice notes, dispatch orders) via documented formats — mainstream systems integrate free; anything exotic is scoped and quoted upfront.

Timeline and cost

Built in 8 days, live in ~4 weeks: item and client masters migrated godown by godown, gate module cut over first (it’s self-contained and wins instant credibility), stock counts reconciled at go-live so the system starts true. ≈ ₹80,000 one-time on managed cloud, then per-active-user licensing for supervisors, gate, stores and office staff.

What changes

Client audits shrink from two days of counting to a report both sides already trust. Truck turnaround becomes a measured, improvable number — and a sales argument. Month-end labour disputes end because attendance is biometric fact. And “where is my consignment?” becomes a screen the client can see themselves.
